General Rules and Regulations

The management of University facilities and enforcement of University policies is the responsibility of the Office of Meetings & Events. Client(s) using these facilities are expected to abide by the general rules and regulations listed herein, as well as those contained in the Policies and Procedures for the Utilization of University Facilities Manual for the purposes of Meetings and Events.

  1. It is the responsibility of the client to complete the correct Space Reservation Form and submit to the Office of Meetings and Events. Completed forms must be returned to the Office of Meetings and Events a minimum of fifteen (15) working days prior to the scheduled event.
  2. Alcoholic beverages can be served only in the Emil and Patricia A. Jones Convocation Center and in accordance with the Board of Trustees and Chicago State University policies.
  3. No gambling of any nature will be allowed on all areas of the University unless otherwise indicated.
  4. Smoking is prohibited in all areas of the University unless otherwise indicated.
  5. All confirmations for University facilities are provided with the understanding that the facility will not be used in excess of the normal room capacity and will be used as it is normally equipped. It is further understood that all posted safety and fire prevention regulations will be followed.
  6. No request for use of facilities will be honored that is inconsistent with the university's mission, policies or procedures, or are in violation of federal, state, and local law.
  7. It is the responsibility of the client(s) to assure that all remains from the catered affairs are removed at the end of the event. If necessary, charges will be assessed for clean-up.
  8. Restitution for damages to University property or equipment by any member of a group, its guest, or persons present by reason of the event will be the responsibility of the client of the event. The group will be held liable for reimbursement to the University for any such Damages or loss.
  9. When a facility is being used by a group, the University shall not be held liable for loss of any materials, fixtures or equipment belonging to that group by reason of theft, fire, flood, riots, civil commotions, or any other cause. Further, the University shall be held harmless from liability arising from acts or any other cause. Further, the University shall be held harmless from liability arising from acts or activities that result in injury, including death, sustained by reason of the event.
  10. Chicago State University reserves the right to deny or cancel reservations that conflict in any way with university policy and regulations or federal, state or local law. Chicago State University also reserves the right to change or cancel assigned facilities when such reservation conflict with the university's classes, programming, events or activities. When such changes or cancellations are necessary every attempt will be made to provide alternate facilities to the sponsor.
